1. Introduction

This Privacy Policy explains how Self Capsule ("we", "us" or "our") collects, uses, stores and discloses personal information in connection with AUSTRANO, our vessel-management platform. We are based in Australia and are committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This policy should be read together with our Terms of Service.

2. Information we collect

We collect the following kinds of personal information:

  • Account information — your name, email address, password (stored in hashed form), and, if you choose to sign in with Google, the basic profile details Google provides.
  • Organisation information — your role within an organisation and the members you invite or manage.
  • Content you provide — the vessel records, maintenance and work orders, compliance and certificate details, usage and reservation schedules, documents and photos you upload.
  • Billing information — subscription details and payment records. Payments are handled by Stripe; we never store your full card numbers.
  • Technical information — information needed to operate the service securely, such as authentication session data.

3. How we use your information

We use personal information to:

  • provide, operate and maintain AUSTRANO and its features;
  • create and manage your account and verify your email address;
  • manage organisations, roles and member invitations;
  • process subscriptions and payments;
  • send transactional and service-related email notifications;
  • secure the service, prevent misuse, and comply with our legal obligations.

4. Cookies and tracking

We use strictly-necessary cookies only, for authentication and to keep you signed in. We do not use advertising trackers or analytics cookies, and we do not sell your personal information.

5. Service providers and sub-processors

We share personal information with a small set of trusted service providers that help us run AUSTRANO. Each provider only receives the information needed to perform its function. Our complete list of sub-processors is:

  • Neon — our primary PostgreSQL database, hosted on Amazon Web Services in Sydney, Australia (ap-southeast-2).
  • Vercel — application hosting and content delivery.
  • Cloudflare — image and file storage.
  • Stripe — payment processing.
  • Resend — transactional email delivery.
  • Google — optional sign-in.
  • Inngest — background job processing.

6. Data storage and overseas disclosure

Your core data is stored in a PostgreSQL database hosted in Sydney, Australia. Some of our service providers may store or process limited information outside Australia. Where that happens, we take reasonable steps to ensure your personal information is handled consistently with the Australian Privacy Principles.

7. Data retention and security

We retain personal information for as long as needed to provide the service and to meet our legal obligations. If you delete your account, we will remove your data within a reasonable period, except where we are required to retain it for legal or regulatory reasons. We take reasonable technical and organisational measures to protect personal information from misuse, loss, and unauthorised access or disclosure.

8. Your rights

Under the Australian Privacy Principles, you have the right to:

  • access the personal information we hold about you;
  • ask us to correct information that is inaccurate or out of date;
  • ask us to delete your personal information, subject to legal requirements; and
  • make a complaint about how we handle your personal information.

If you are not satisfied with our response to a complaint, you may escalate it to the Office of the Australian Information Commissioner (OAIC).

9. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through an in-app notice. The "Last updated" date at the top of this page shows when it was last revised.
